Project Coordinator – Defence

The Opportunity

A unique opportunity exists for an experienced Project Coordinator to step into a Contracts Administrator role and take ownership of key sustainment and service delivery contracts supporting the Royal Australian Navy.

This role blends contract management with hands-on project coordination, making it ideal for someone who enjoys being directly involved in the day-to-day movement, scheduling and delivery activities that keep a Defence contract running smoothly. You will be the central point of coordination—ensuring services are delivered, schedules are met, stakeholders are aligned, and all contractual obligations are achieved.

Responsibilities of Your New Role

  • Manage Defence sustainment contracts, ensuring all service, delivery and performance requirements are met.
  • Coordinate service schedules, working with internal delivery teams, subcontractors and multiple national sites.
  • Liaise directly with Royal Australian Navy ships and Defence to organise deliveries, equipment returns and service timelines.
  • Oversee the full coordination process; quotations, documentation, invoicing and contract compliance.
  • Maintain all contract documentation including KPI reporting, CDRLs, contract registers, templates and performance reviews.
  • Lead quarterly and annual contract review meetings with Defence stakeholders.
  • Manage Defence-furnished equipment, spares, stocktakes and logistics activities.
  • Work proactively to ensure services are delivered safely, efficiently and in alignment with contractual requirements.
  • Support additional Defence-related projects and minor contracts as required.

This is a “hands-on” role—you are the person who ensures the contract is delivered end-to-end.

Experience required to make this your new role

  • Experience managing Defence or government contracts, or experience as a Project Coordinator/Project Manager supporting Defence programs.
  • Understanding of Defence procurement, governance and contract compliance requirements is ideal
  • Strong stakeholder skills with the ability to engage confidently with Navy stakeholders
  • Highly organised with the ability to plan schedules, coordinate competing priorities and meet tight deadlines.
  • Excellent communication, documentation and reporting capability.
  • Australian Citizen with ability to obtain a Baseline Defence Security Clearance.
